File & Track A Claim

A detailed, step-by-step guide to reporting a breakdown, getting authorized, and tracking your repair through to settlement — pick a topic below or look up an existing claim right here.

Claims Overview

A claim is your formal request for DriveZenoGuard to pay for a covered mechanical or electrical repair under your active protection plan. Our claims desk operates a Direct Cashless Repair Settlement Network across more than 1,200 accredited workshops nationwide, meaning that in most cases you never pay the garage yourself — DriveZenoGuard settles the bill directly once the repair is authorized and completed.

Every claim moves through four broad stages: reporting, authorization, repair, and settlement. Understanding each stage helps you know exactly what to expect and what is expected of you at every point in the process.

Before You Start: Make sure your plan is active, out of its initial 30-day / 1,000-km waiting period, and that the failing component is one listed under your specific plan. You can check your coverage schedule in your policy confirmation email.

Step-by-Step Filing Process

Follow these steps in order. Skipping the authorization step is the single most common reason a repair ends up unpaid, so pay close attention to Step 5. Scroll sideways to move through the full sequence.

1
Pull Over Safely

Stop driving the moment you notice a warning light, noise, leak, or performance drop. Continuing to drive can void coverage on resulting damage.

2
Report Immediately

Call our 24/7 line with your Policy ID, registration number, location, and symptoms. You'll receive a Claim Reference ID by SMS and email.

3
Reach A Partner Workshop

Drive to the nearest certified workshop if possible, or request complimentary towing up to 50 km through the same call.

4
Diagnostic & Teardown

The technician inspects the vehicle and, if needed, tears it down to confirm the exact cause of failure.

5
Get Your Authorization Code

An adjuster reviews the diagnosis and issues a formal Authorization Code to the workshop. No repairs begin before this.

6
Repair Is Completed

The workshop completes the repair with approved parts. You get SMS updates tied to your Claim Reference ID.

7
Direct Settlement

DriveZenoGuard pays the workshop directly. You only pay for any non-covered items agreed upfront.

Documents & Information You'll Need

Having the right documentation ready speeds up authorization significantly. Depending on the size of the claim, you may be asked for some or all of the following:

Identity & Policy Details

Policy ID, vehicle registration certificate (RC), and a government-issued photo ID matching the policyholder name.

Diagnostic Report

The workshop's technical diagnosis, including fault codes, teardown findings, and the specific part(s) identified as failed.

Maintenance Records

Itemized service receipts showing VIN, service date, mileage, and materials used — required for major engine or transmission claims, up to 24 months of history.

Odometer Photo

A clear photo of the current odometer reading at the time of breakdown, timestamped where possible.

If you perform your own maintenance rather than using a workshop, keep dated store receipts for fluids and parts along with a simple mileage logbook — this satisfies our self-service documentation standard.

Authorization & Repair Rules

This is the most important operational rule in the entire claims process, so we repeat it clearly here:

Never Authorize Repairs Yourself: No repair work, teardown, or component removal should begin before the workshop receives a formal, written Authorization Code from a DriveZenoGuard claims adjuster. Repairs performed without this code are treated as unauthorized and are strictly non-reimbursable, even if the failed part would otherwise be covered.

Diagnostic and teardown labor required to determine the cause of failure is reimbursed at standard regional labor time guides if the failure is confirmed as a covered component. If the diagnosis shows the failure is non-covered or falls under an exclusion, diagnostic costs remain the vehicle owner's responsibility. Your claims adjuster will always explain this outcome to you before any teardown charges are finalized.

Typical Timelines & Status Meanings

While every claim is different, most straightforward claims move through the following approximate timeline once reported at a partner workshop:

Stage Typical Duration Status Label
Claim reported & workshop assigned Immediate Reported
Diagnostic inspection & teardown Same day to 1 business day Under Review
Authorization Code issued 1 to 2 business days after diagnosis Authorization Pending
Repair completed by workshop Varies by part availability & labor Repair In Progress
Claim approved & settled 2 to 5 business days after repair completion Approved & Settled

Complex claims involving rare parts, multi-component failures, or additional documentation requests can take longer. You can check live status any time using the Track An Existing Claim console at the top of this page, or by calling our Claims & Support line with your Claim Reference ID.

Out-of-Network & Reimbursement Claims

Cashless, direct-settlement repairs are only available at our 1,200+ certified partner workshops. If you are unable to reach a partner workshop — for example, in a remote area or during travel — you may use a trusted independent garage instead, subject to the following process:

  • Call before repairs begin: Report the claim and describe the situation so an adjuster can still issue a provisional Authorization Code where possible.
  • Pay the garage directly: You will need to pay the independent garage upfront for the completed repair.
  • Submit a reimbursement claim: Provide the original itemized invoice, proof of payment, the diagnostic report, and photos of the failed part(s) through your account or by email to our claims desk.
  • Extended review time: Out-of-network reimbursement claims require additional documentation verification and typically take longer to process than in-network cashless claims.

Denials, Partial Approvals & Appeals

A claim may be denied or partially approved for reasons including a pre-existing condition identified at your original inspection, a component that falls under a standard exclusion (such as wear-and-tear or cosmetic items), missing maintenance documentation, or repairs performed without prior authorization.

You can request a formal review within 15 days of the denial notice by submitting any additional supporting documentation, such as extra maintenance records or a second diagnostic opinion, to our claims desk. A senior adjuster will re-examine the claim and respond in writing.

Sometimes a repair involves both covered and non-covered items in the same job — for example, a covered transmission repair alongside a non-covered clutch plate replacement. In this case, DriveZenoGuard settles the covered portion directly with the workshop, and you are responsible only for the non-covered line items, which are itemized clearly on your final invoice.

Yes. As outlined in our Terms & Conditions, any unresolved dispute is settled through binding individual arbitration rather than court proceedings. Our legal desk can walk you through this process if it becomes necessary.

Tips For Faster Claim Approval

  • Report immediately: Don't wait — the sooner a claim is opened, the sooner diagnosis and authorization can begin.
  • Use a partner workshop whenever possible: This unlocks direct cashless settlement and avoids the extra documentation burden of a reimbursement claim.
  • Keep every service receipt: Organized, itemized maintenance records are the single biggest factor in avoiding claim delays or denials on major component failures.
  • Never approve repairs verbally to the garage: Always wait for the official Authorization Code to be issued to the workshop directly.
  • Save your Claim Reference ID: Quote it every time you call or email so our team can pull up your case instantly.

Claim Types & Payout Limits

Not every claim looks the same, and payout structure varies depending on what triggered it. Knowing which category your situation falls into helps set the right expectations before you even call the claims desk.

Mechanical Breakdown Claim

Covers listed engine, transmission, and drivetrain components that fail under normal use. Settled directly with the workshop, subject to your plan's per-repair limit.

Electrical & Electronics Claim

Covers wiring harnesses, sensors, control modules, and infotainment faults listed on your plan schedule, evaluated with the same diagnostic-then-authorize workflow.

Roadside-Linked Claim

Opened automatically when a roadside dispatch (towing, jump-start, lockout) uncovers a mechanical fault that needs a full repair claim to follow.

Commercial Fleet Claim

Filed under a Commercial Fleet Guard policy, with claims tracked per vehicle in the fleet against a shared or per-unit annual cap.

About Payout Caps: Most plans carry a per-repair limit and a total annual claims limit, both listed in your policy schedule. Once your annual limit is reached, further covered repairs in that plan year become the vehicle owner's responsibility until renewal.

Digital Claims Portal & Document Upload

Beyond phone reporting, most of the claim can be managed from your policyholder account without needing to call in for routine updates.

Upload Documents Anytime

Photograph invoices, diagnostic reports, and the odometer directly from your phone and attach them to your open Claim Reference ID.

Real-Time Status Alerts

Get an SMS and email notification the moment your claim moves between stages, matching the status labels shown in the timeline above.

Message Your Adjuster

Send follow-up questions or additional evidence to the adjuster assigned to your case without waiting on hold.

Claim History Archive

Review every past claim, settlement letter, and authorization code tied to your policy in one place for future reference.

The portal complements — and never replaces — the 24/7 phone line, which remains the fastest way to open a brand-new claim or arrange emergency towing.

Claims FAQ

Quick answers to the questions our claims desk hears most often. If you don't see yours here, our 24/7 line is always the fastest route to a straight answer.

Every plan carries an initial 30-day / 1,000-km waiting period from the activation date. Claims for failures that occur inside this window are not eligible, so it's worth confirming your activation date in your policy confirmation email before you call in a claim.

You should always call our 24/7 line before any workshop visit, partner or otherwise, so a Claim Reference ID is opened first. From there we'll route you to the nearest partner workshop for cashless settlement, or walk you through the out-of-network reimbursement process if one isn't within reach — see the Out-of-Network tab for full details.

There's no fixed cap on the number of claims, but each plan carries a per-repair limit and a total annual claims limit listed in your policy schedule. Once the annual limit is used up, further covered repairs in that plan year become the owner's responsibility until renewal — see the Claim Types & Limits tab.

Vehicle protection plans work differently from auto insurance — a covered repair claim on its own does not raise your renewal price. Renewal pricing is based on plan tier, vehicle age, and mileage at the time of renewal, not on your claims count.

Yes — a family member or the workshop itself can report the breakdown, provided they have your Policy ID and vehicle registration number on hand. Final authorization and settlement communication, however, are still directed to the policyholder on record.

An open claim is tied to the vehicle and policy at the time it was reported, so ownership changes during an active claim can affect settlement. Contact the claims desk as early as possible if a sale or transfer is pending so an adjuster can advise on next steps for your specific case.

Reported a transmission issue on a Saturday and had the authorization code by Monday morning — the workshop never once asked me for payment.

Straightforward process once I understood the authorization step. Wish that part was explained more clearly when I first signed up.
